The Center for New York City Affairs at The New School seeks a full-time Administrative and Events Coordinator with experience in administration, website editing and event planning and knowledge of urban policy issues. The position includes responsibility for coordination of logistics of a heavy schedule of special events including panel discussions, lectures and other programs, as well as a role in developing these programs. It also includes primary responsibility for maintaining the Center's website. Also, the Coordinator will provide administrative support to Center staff.
Responsibilities:
-Assist Center staff in the development, management and production of 6-10 public policy events per semester
-Manage promotion and outreach for public events, new publications and project updates
-Coordinate invitations, travel and accommodations of speakers, lecturers and other VIP guests
-Track RSVPs for and attendance at events
-Act as liaison for special events with university departments including Facilities, Development, Communications, Mailroom and President's Office
-Act as liaison with vendors such as caterers, printers and photographers/videographers
-Set up and staff special events; supervise student staff at event site
-Develop, maintain and organize databases and email lists
-Assist in management of Center publishing projects; liaison with printers and distribution
-Perform regular Web site maintenance, including collecting news items from staff, drafting web copy, finding images and photo editing, designing layout and formatting content for web.
-Edit event audio, video and transcripts, and manage event content in the New School's CMS
-Collect and track expenses and invoices; process contracts for vendors
-Respond to inquiries from event attendees, Center email account and phone lines
-Provide general support to staff, including scheduling meeting spaces, assisting with technical problems, ordering supplies, submitting facilities requests, etc.
Requirements:
-Proficiency required in word processing, spreadsheet, email and database software (Microsoft Word and Excel at a minimum). Knowledge of FilemakerPro a plus.
-Knowledge of web publishing and ability to quickly learn web-based applications. Knowledge of Dreamweaver a plus.
-Knowledge of photo, audio and video editing software, such as Photoshop, Pro Tools and Final Cut Pro.
-Strong planning skills and ability to closely follow production timelines
-Ability to track budgets and process payment requests
-Solid oral and written communication skills
-Attention to detail and ability to handle several projects simultaneously
-At least two years experience in office administration and/or special events
-Experience in public policy and/or fundraising preferred.
