The Assistant Director oversees the daily operations of the Bachelor's Program office. This includes responsibility for collecting and processing data necessary to run an advising program for 800+ matriculated students with 20+ faculty advisors. It also includes direct supervision 2 clerical staff members and several student workers.
There are four main areas of responsibility:
1. Office Management: Supervision, training and evaluation of office personnel, including union employees and student workers. This includes regularly scheduled weekly in-person meetings with the staff to assign projects and assess progress toward completion of projects in process. Due to the supervisory nature of this role and the day to day nature of the following one, the assistant director is required to work in the office for the full work week.
2. Operations Management: Organization of and oversight of all office operations, including events, e.g. orientations; functions, e.g. advising and registration; and student mailings. The Assistant Director also provides administrative report in planning and implementing faculty programming. The Assistant Director has the responsibility for events and functions running smoothly.
3. Data entry and collection, either actually processing the data or insuring that data is properly entered and collected by office personnel in BP or other affiliated offices, e.g. the Dean's office. This will include reading student files in order to: identify students who fail to meet academic standards or who might qualify for honors; process and read graduation petitions; proofreading materials to be sent to students and/faculty; working with the dean's office on the updating of the advising database and working with records and registration on data collection. It also includes keeping and up-dating the statistics for faculty advisors, e.g. how many students each advisor has. The Assistant Direct is also responsible for making sure that the data is available to whomever needs it and that it is formatted in a usable manner.
4. Web Management: Weekly updates of the information on the website. The assistant director will check the webpages for the Bachelor's Program each week and either change the outdated information on a timely basis or prepare a list of suggested changes to bring to the staff meeting for that week.
5. Troubleshooting for students who need assistance, including sorting out registration problems, and coordinating overtallies with department chairs.
The Assistant Director works directly with the Associate Director in determining the office operation and events management. The Associate Director has a supervisory role over the Assistant Director's daily responsibilities. But, the Assistant Director reports to the Director, who is his or her supervisor and will perform evaluations.
Requirements:
The Assistant Director should have a B.A. degree and 3 years of administrative experience.
