Notes: This is a 7-month career position (June to December 2009) pending funding continuation from sponsored agency. Schedule of hours is Monday - Friday, 8:00 a.m. to 5:00 p.m. The budgeted monthly starting salary range for this position is $3,121 - $3,421.

Essential Functions: The Office Operations / Planning Assistant will provide programmatic and executive administrative support and oversight to a large teacher professional development and research partnership project, The Copernicus Project. This position will also provide support to its numerous sub-contracts for the Teacher Professional Development unit within the Graduate School of Education (GSOE).

The Copernicus Project is the largest federal grant the UC Riverside campus has received to date, at $11.5 million over five years.

The assistant will provide specialized, data-driven support for the unit’s major federally-funded program: the Copernicus Teacher Quality Enhancement Program (2004-2009). Oversee all day-to-day operational aspects of the unit and program management based on analysis of available program data. Work under general direction from the projects’ principal investigators, program directors, project manager and the GSOE budget analyst.

Administrative support includes planning assistance; cost analyses and logistics coordination for all professional development programs, including the Copernicus Science Summer Institute, program participant internship programs and Copernicus colloquia. Independently provide financial management and support for the Copernicus Project to ensure the accuracy and appropriateness of all accounting and personnel transactions as they relate to University policy, and track budget funds and expenditures for the Copernicus Project. Respond to management requests for assistance in planning and implementing special assignments and supervise staff in completing these assignments.

Minimum Requirements:
• AA degree or equivalent in a related field.
• Experience in a professional environment providing executive-level administrative support.
• Experience with UCR Financial Systems such as UCR iViews, UCRFS and PeopleSoft.
• Skill in editing and formatting documents in word processing applications.
• Highly developed interpersonal skills to communicate effectively with a wide variety of individuals (school superintendents, school board members, faculty, staff, students and the general public) in a professional and friendly manner.
• Ability to work independently, attention to detail, organize and anticipate workload using initiative in meeting deadlines.
• Attend and successfully complete campus management, financial and professional development courses and seminars necessary to fulfill responsibilities.
• Maintain a working knowledge of standard office technology as well as the uses of a large-scale database such as MS Access. Current significant and intense use of technology across projects.
• Working knowledge of common reporting systems such as budget, payroll, staffing, personnel, facilities inventory, equipment inventory, capital assets, capital project account and general ledgers.
• Knowledge of University of California policies and procedures relating to budget, accounting, travel, payroll, purchasing and personnel.
• Demonstrated ability with Microsoft Word and Access, or similar word processing and database applications.
• Ability to work independently, innovative and self-motivating.
• Ability to maintain confidentiality.
• Hired applicant must successfully pass a background check through the Department of Justice.

Preferred Qualifications:
• Experience with UCR Financial Systems such as UCRFS, UCR Web Recharge System, and PeopleSoft.
• Experience working with online calendaring systems.
• Skill in coordinating complex administrative activities by determining the time, place and sequence of actions to be taken. Detail oriented.
• Knowledge of UC personnel and payroll policies and procedures.
• Working knowledge of UCR Payroll/Personnel System (PPS).
• Knowledge of various UCR purchasing applications and recharge systems.
• Ability to meet deadlines and demanding time schedules in a pleasant and professional manner.
• Familiarity with FAU accounting structure.
