RESIDENT SERVICES REPRESENTATIVE
Housing Services Admin.

Notes: This is a full-time, career position. Schedule of hours is Monday - Friday, 8:00 a.m. to 5:00 p.m. Overtime may be required.

Essential Functions: The Resident Services Representative (RSR) provides administrative support to the Business and Financial Services staff, Residence Life staff, Maintenance staff, Housekeeping staff, Conference Services staff, Resident Directors, which includes maintaining calendars, receptionist duties, sorting and distributing mail and typing correspondence.

This position is located in the Resident Services Office (RSO) at one of UCR’s student residential housing communities. The RSR provides excellent customer service to the residents. This position assists with the monthly reconciliation of the Student Information Systems (SIS) Report and follows up on any discrepancies using Housing Management Systems (HMS) and Envisions software programs. The RSR prepares alpha lists and placement sheets and is also responsible for data entry of work orders into the on-line program.

The RSR maintains resident files, move-in/move-out files, inventory records, and room rosters. Processes and dispatches documentation, while interacting with operations staff and residents from the start to the conclusion of room turnovers. Assists the Conference Coordinator with summer placements and various conference groups on an as needed basis.

This position works under general supervision of the Resident Services Coordinator.

Minimum Requirements:
• Previous administrative experience in an office environment providing extensive administrative support to management.
• Experience with low dollar value purchasing processes and automated purchasing systems.
• Experience with query tools to extract data from systems.
• Demonstrated skill to effectively communicate with customers in a polite and professional manner and to establish good working relationships with co-workers and campus contacts.
• Strong organizational skills with the ability to prioritize workflow while meeting multiple deadlines.
• Skill in negotiating techniques used in buying.
• Strong Math skills.
• Knowledge to recognize problems and skill to develop logical solutions in order to coordinate with various individuals as required.
• Familiarity of generally accepted accounting principles (GAAP) in order to reconcile, balance and maintain all related charges of students housing bills, including mealplans charges and room and board charges.
• Familiarity and ability to maintain calendars and schedule appointments.
• Advanced ability and demonstrated skill in proficiently using Microsoft Word, Excel, Access, and Outlook or comparable software for word processing, maintaining databases, creating spreadsheets, and preparing reports.
• Proven ability to compose letters and memos using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
• Demonstrated ability to work in an extremely busy office environment with constant interruptions, busy phones, and many walk-ins.
• Proven ability to show sensitivity to the needs of students of diverse social, cultural, economic, and educational backgrounds.
• Ability to maintain confidentiality and sensitivity to student and staff issues.
• Proven ability to implement UCR Housing Policies and Procedures.
• Hired applicant must successfully pass a background check through the Department of Justice.

Preferred Qualifications:
• Completion of campus purchasing assistants training program.
• Experience working at an institution of higher education.
• Experience using campus on-line systems such as: Student Information System (SIS), Housing Management System (HMS), Odyssey, Envisions.
• Advanced computer proficiency.
